Previously referred to as the ‘Learner UX’, this licence is required for learner users to see ePortfolio features, including Evidence/OTJ progress, Add Evidence/OTJ, Timelog page, Evidence page, and the learner access to Progress Reviews.

In the To Do list, the items that display with this licence are:

• Actions from Smart Assessor
• Learning Activities from Smart Assessor
• No recent OTJ logged
• Document (eg Session file) to sign
• Form to sign
• EILP to sign

ePortfolio (Smart Assessor)

Learner account for ePortfolio (Smart Assessor), including:

• Active Main Aim course
• OTJ Requirement for OTJ Progress
• Booked sessions for ‘Up next’ and Calendar

Learners only

ePortfolio Assessor Module

Previously referred to as the ‘Assessor UX’, this licence is required for Delivery Staff to see Assessor features, including:

• My learner list will display learners where the logged in user is listed as an assessor on an active course from Smart Assessor.
• Add Evidence/OTJ for learners
• To Do - Evidence to Review
• To Do - OTJ to Review
• To Do - Signatures Missing

The licence also allows Assessor access to the ePortfolio features within the Learner Profile:

• Tasks
• Details
• Reviews
• Evidence
• Timelog
• Progress

ePortfolio (Smart Assessor)

Staff login in ePortfolio (Smart Assessor), including:

• ‘Assessor’ role assigned
• User listed as an Assessor (Primary/Secondary/Additional) for at least 1 learner

Delivery Staff

ePortfolio Employer Module

Previously referred to as the ‘Employer UX’, this licence is required for Employer Managers associated with learners from Smart Assessor. This licence includes:

• My learner list will display learners where the logged in user is the Employer Manager for.
• To Do - Signatures

The licence also allows Employer access to the ePortfolio features within the Learner Profile:

• Tasks
• Details
• Reviews
• Evidence
• Timelog
• Progress

ePortfolio (Smart Assessor)

Staff login in Smart Assessor (ePortfolio), including:

• ‘Employer Manager’ role assigned
• User is listed as the Employer Manager for at least 1 learner

ePortfolio Shared Module

As apprenticeship data and workflows are delivered into Apprenticeship Management, some components are to be shared across multiple modules, with the underlying module then feeding data.

Eg, a learner’s To Do list is a shared component and the data that appears within the list is fed from the underlying licence, like ‘ePortfolio Learner Module’.

To be used with any of the following:

ePortfolio (Smart Assessor)

Assessment & Learning (bksb)

Learner Management System (PICS)

All Apprenticeship Management users.

Please note: it is not recommended to allocate this licence to all users within your organisation. If users within your organisation are only licenced to Non-Education modules (eg Financials, Performance & Talent), then this licence will surface Apprenticeship Management menu items.

Assessment & Learning Learner Module

Previously referred to as the ‘Learner UX’, this licence is required for learner users to see Assessment & Learning features and data, such as Functional Skills progress and To Do list items like Assessments to be taken.

Assessment & Learning (bksb)

Learner account for Assessment & Learning (bksb), including:

• Added to at least one course

Learners only

Assessment & Learning Tutor Module

Previously referred to as the ‘Tutor UX’, this licence is required for Delivery Staff to see Tutor features, including:

• My learner list will display learners' Functional Skills progress
• The Assessment & Learning Course tabs within the Learner Profile
• IA/DA progress reports

Assessment & Learning (bksb)

Staff account for Assessment & Learning (bksb), including:

• Listed as the tutor for at least one learner on one course.
• Ensure that the user is allocated to at least one Group in bksb. Without allocation to a Group, then the A&L data will not display for the user.

Licence Module that enables the Microsoft Teams integration with Apprenticeship Management.

Please note that this is an additional purchasable licence. Please contact your Account Manager for pricing information.

Progress Reviews

User must also be allocated to ‘Apprenticeship Management Administrator Module’ so the user can configure the Teams instance into AMS.

Assessors, Learners and Employers do not need to be allocated to this licence. Once the integration is configured, then Teams elements in AMS are available to other users.

Education Administrators

OneAdvanced AI Intelligent Chat

This licence is required for the OneAdvanced AI features available in Platform, such as Intelligent Chat , Personal Space, Organisation Space, and Agents

Please note that OneAdvanced AI is an additional purchasable module. Please contact your Account Manager for pricing information.

This is also required for Education specific AI features:

• AI Evidence Feedback - used by ePortfolio Assessors
• OTJ Quality Checker - used by ePortfolio Assessors and ePortfolio Learners
